AAN intends to hire an Administration Officer for its Operations Unit. The incumbent would be responsible for the overall Administration, Logistic, inventory management and Procurement of AAN. S/he will ensure wide range of administrative and logistical support functions including personnel management, contracting, procurement, property management, vehicle pool management, travel management, employee/welfare scheme and maintenance management. In addition to having direct responsibility for providing the daily support to AAN Team, duties include as below.

 

Job Description:

  • Performs general administrative and operational duties to include but not limited to: office administrative and operational tasks
  • Maintain electronic and hard copy filing system
  • Manage office procurement, issuing Request For Quotations, receiving quotations and preparing bid analysis and purchase orders/contracts for selected bidder
  • Manage office inventory and assets management like physical checking, tagging and maintain sheets.
  • Manage office  maintenance and replacement and assets maintenance
  • Open, sort and distribute incoming correspondence
  • Assist in resolving any administrative problems
  • Supervise office support staff and ensure their tasks to be completed in well manners
  • Run company’s errands to post office and office supply store
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings, appointments and travel arrangements for Managers and AAN’s staff
  • Arrange staff visas for international project visits by following complete visa process
  • Maintain and ensure office supplies and stationery for all departments, kitchen items, staff requirements
  • Coordinates and maintains records for staff office space, phones, company credit cards and office keys.
  • Plan work schedule for all tasks
  • Use safety precautions in all housekeeping services
  • Keep the proper Admin & HR filling system and updating it regularly.
  • Making the travel, boarding & lodging arrangements for staff.
  • Any other task assigned by the supervisor and the MD.
